This guide explains the various buttons on the invoice screen in Clarus WMS. These buttons allow you to manage your invoices, from saving drafts to approving and marking them as paid. Understanding each button's function helps you efficiently process invoices.
Action: Downloads the invoice as a PDF.
Details: The PDF will include your company's logo, address, and all invoice details. You can then save this file or send it directly to your customer.
Action: Deletes the invoice.
Details: Click Delete to remove the invoice. You will be asked to confirm this action to prevent accidental deletion.
Action: Saves the invoice.
Details: Once you are happy with the invoice and do not need to make any more changes, click Save. This will take you back to the main invoices screen, and the invoice status will be set to Draft.
Action: Saves and submits the invoice for approval.
Details: After clicking Save & Submit for Approval, you will be taken to the accounts screen, and the invoice status will change to Submitted.
Action: Approves the invoice.
Details: Click Approve to finalise the invoice. Its status will update to Awaiting Payment on the accounts screen.
Once an invoice is approved, three more buttons become available:
Action: Allows you to make changes to the invoice.
Details: Click Edit to make the invoice editable again. You can add new lines or adjust existing details. Click Save when you have finished to save your changes.
Action: Voids the invoice.
Details: Click Void to cancel the invoice. You will need to confirm this action to proceed.
Action: Marks the invoice as paid.
Details: When payment is received, click Mark as Paid. The invoice's status will then update to Paid on the invoices screen.
Yes, click the Edit button to make changes after approval. REMEMBER: Always save any changes when you are finished.
Voiding an invoice cancels it. You will be asked to confirm the void action before the invoice is officially voided.
Click the Download PDF button to download a copy of the invoice, which includes all relevant company details.
Yes, you can delete an invoice by clicking Delete. WARNING: A confirmation prompt will appear to prevent accidental deletions.
Once you receive payment, click Mark as Paid to update the invoice status to Paid.
