How to Set Up ASN Export on Load Dispatch

To automatically generate an Advanced Shipping Notice (ASN) when a load is dispatched in Clarus WMS, you need to complete a few setup steps. This ensures all required data is ready for the ASN file.


Step-by-Step Guide

1. Set up Global Location Numbers (GLN)

Make sure you have the GLN for all connected parties, such as suppliers, consolidators, and depots. These numbers are vital for tracking locations in ASNs.

2. Set up Storage Unit Types

You must set up at least one storage unit type using one of these codes: DOLLIES, EURO, CHEP, or SEMI.

WARNING: Only orders with these specific storage unit types will be recognised by the ASN file.

3. Set up Delivery Addresses

For each delivery address, enter the depot's ANA/GLN into the External System Reference 1 field. This information populates the LOC segment of the ASN.

4. Set up Accounts

In the account setup, fill the External System Reference 1 field with the supplier ASN number (for consolidated ASNs). This helps track the supplier's original ASN number and populates the PIA segment of type DEL.

5. Set up Carriers

Add an External System Reference 1 for each required carrier. This identifies the transport services used and will populate the TDT line in the ASN file. The system checks for these values in order of priority:

  • Carrier external system reference and carrier name.
  • Consolidator ID and name (if set on the event trigger).
  • Supplier ID and name (if provided).

6. Set up an FTP User

We recommend setting up a new FTP user and making sure the direction is set to Download for ASN files.

7. Contact Clarus WMS for Event Trigger Setup

Once you've completed the steps above, contact Clarus WMS to set up the event trigger that will generate ASN files upon load dispatch. You will need to provide the following:

  • FTP User ID: The ID from Clarus WMS where the ASN files will be created.
  • Customer ID: The ID from Clarus WMS for which the ASN will be created. A separate event trigger is needed for each customer.

Optional Information:

  • Consolidator ID: The GLN of the consolidator (populates the NAD+CS segment).
  • Consolidator Name: The name of the consolidator.
  • File Name Prefix: A prefix to use at the start of each file (default is ASN).
