Master Your Inventory: The New Clarus Stock Check Feature

We’ve launched a new Stock Check functionality in Clarus, giving you real-time visibility into your inventory levels across any location. This tool is designed to sharpen your warehouse accuracy and provide deeper insights into your stock flow.


Phase 1: Initiation (Desktop)

Before heading to the warehouse floor, you must schedule the check within the Clarus interface:

  1. Navigate to System > Locations.

  2. Find the specific location you wish to audit.

  3. Select the checkbox for that line and click "Create Stock Checks."

  4. Assign an Expected Completion Date to finalize the request.

Phase 2: Execution (Scanner/HHD)

Once created, grab your Handheld Device (HHD) and follow these steps:

  • Access the Module: Open the "Stock Check" app on your scanner.

  • Identify Location: Scan or enter the Location Code.

  • Note: If a stock check hasn't been scheduled for that location yet, the system will return an error message.

  • Identify Product: Enter the Product Code.

  • Validate Details: * If the item is batch-tracked, you will be prompted for the Batch Code.

    • Enter the Sell By or Best Before Date as prompted by the record.

  • The Count: Enter the Physical Count found on the shelf.

  • Important to note: Batch, SBD and BBD will only appear on the HHD is the account flags are set to use those attributes. 

Handling Discrepancies & Scenarios

ScenarioSystem Action / User Requirement
Count Mismatch:                              A warning will appear. Click "Count Again" to restart the process for that item and ensure accuracy.
                              A user will only get 2 attempts to successfully complete the stock check. 
Zero Stock Found:                              Click "Stock Not Found" to automatically complete the check for that location.
                              This should only be used if the location is empty.
Exiting Mid-Check:                              Click "Back" to choose between continuing the current check, finishing the location early, or switching to a new one.

Phase 3: Reporting & Monitoring

To track progress or review history, head to the "Stock" tab and select the new Stock Checks section.

  • What you’ll see: A record of passed or failed checks.

  • Pro Tip: Stock checks will only appear in this tab once the process has actually been started on the HHD. Simply scheduling them under the System tab will not make them visible here.

  • Important to note: The frontend will prevent a user from creating a new stock check if there is already one in "Pending" (This can be checked from the stock check screen).
